To combine checks from separate gifts
GiftWrap provides great flexibility in how you can combine payments from separate gifts into a single check. Combined payments are reflected in the Payment Summary, EFT Payment File Summary, and Check Register reports, the EFT Payment file, and the Reconcile Checks page, as well as on the checks and advices themselves.
For example, if Mrs. Smith receives quarterly payments from several gift annuities that have been funded over a number of years, you may want to combine the payments into a single quarterly check equal to their total. If Mrs. Smith also receives payments from a charitable remainder unitrust, however, you may want to issue those payments in a separate check, even if they are made on the same dates as the gift annuity payments. You can do both in GiftWrap.
In order for payments from separate gifts to be combined, the following requirements must be met:
· the payments must be made from gifts to the same organization
· the payments must be made to the same person (although the Pay to the Order of names may be different)
· the payments must be made to the same address
· the payments must have the same Check Date
· the Do Not Combine Checks checkbox in the person's Association Information page for each gift must not be marked
So, in the above example, if you mark the Do Not Combine Checks checkbox in Mrs. Smith's Association Information page for her charitable remainder unitrust and leave it blank for all her gift annuities, GiftWrap will combine her gift annuity payments into a single check and issue a separate check for the unitrust payment.
Combining checks for one gift type or a specific set of gift types
You may have noticed that Gift Type is not a criterion for combining payments into a single check. If all the requirements listed above are met, GiftWrap will combine payments from different gift types, such as gift annuities and charitable remainder unitrusts.
You may, however, not want to combine payments from different gift types or want to combine payments from only certain gift types. For example, you may wish to combine gift annuity payments where appropriate and charitable remainder trust payments where appropriate, but never to combine gift annuity payments with charitable remainder trust payments.
To combine payments for only one gift type or for only a specific set of gifts, simply print checks only for the gift types whose payments you want to combine:
1. Click Payments > Checks / Upload.
2. Mark the checkbox of each gift type for which you want to combine checks. When done, the only Gift Type checkboxes marked should be the ones whose payments you want to combine where appropriate.
Printing checks/advices for a single pooled income fund
If you are printing checks/advices for a pooled income fund and your organization has more than one pooled income fund, you must also enter a custom filter to produce the checks/advices for just that single fund. If you do not enter a custom filter, payments from different pooled income funds will be combined into a single check if all the criteria for combining payments are met (see the bulleted list above).
3. Choose your other selection criteria, and then click OK.
4. If you leave the Starting Check Number field blank or enter 0, you will be asked to confirm that this was intentional. Click Continue to continue without entering a starting check number. Click Cancel to return to the Checks / Upload tab, where you can enter a starting check number.

7. Click Yes to record the date you are producing the checks in the Issued Date field for each check produced. In this case, an Issued Type of Check also will be recorded for each of these checks. If you entered a starting check number, clicking Yes also stores a check number for each check produced. A snapshot of the information is created. Click Payments > Payment Snapshots / Void to view this information.
Click No to leave the Issued Date, Issued Type, and Check # fields blank for these checks.
Notes:
· Use the log window to troubleshoot any errors in your check data prior to printing. The log indicates the person key and the Gift Key to identify the gift along with a brief explanation of the problem.
You can print the error log or save the log in a file that you can print or review later. Click Continue and go to the next step in the procedure.
