Exporting a Report

You can export the raw data used to generate any GiftWrap report, which you can then analyze or manipulate in Excel or other software that can read a comma-delimited text file.  The data is saved comma-delimited text format.

All GiftWrap reports allow you to export raw data in non-collapsed format. Some GiftWrap reports allow you to export raw data in collapsed format and non-collapsed format.  

Non-collapsed format
This format often contains duplicate values and therefore is best used with a report writer, such as Crystal Reports.  For example, the non-collapsed data for a Gift Summary contains the gift amount in each beneficiary record, not in a single gift record.

Collapsed format
The collapsed format contains each value just once by inserting 0s where necessary.  This approach makes it easy to compute accurate totals in Excel based on collapsed format data.

To export the raw report data:

1. View the report.

2. In the Report window, click to export in collapsed format or to export in non-collapsed (original) format.

3. Choose Save File, and then click OK.

4. Browse to the folder where you want to save the data file, enter the name of the file, and then click Save.

5. Open the saved data at any time using Excel, a text editor such as WordPad, or any other software that can read comma-delimited text files.
