Organization Setup

The Organization setup routine lets you create the list of organizations for which you will be maintaining data in GiftWrap.

If you work for a non-profit organization, you will likely need to enter information on only one organization, your own. If you work for a bank, umbrella organization, or other institution that administers the planned giving program of more than one charity, however, you will need to enter information on each one of these organizations.

To report the current information stored on one or more organizations

1. Click Setup > Organization in the Menu Bar.

2. Click

3. Select the organization(s) on which to report, and then click OK .

Do the following, as needed:

To view or modify the information stored on a specific organization

1. Click Setup > Organization in the Menu Bar.

If necessary, click a page number or an arrow  to cycle through the records in sort order.

2. Double-click the row in the grid for the organization:

Enter or edit information in the Organization Information page as desired. There is help available on each field.  See Notes below for how organization information is used by GiftWrap.

3. Click to save your changes.

4. Click image\closebox.gif to close the Organization Information page.

 

To delete a specific organization (allowed only if no gifts are assigned to the organization)

1. Click Setup > Organization in the Menu Bar.

If necessary, click a page number or an arrow  to cycle through the records in sort order.

2. Double-click the row in the grid for the organization you want to delete.

3. Click .

4. Click Yes to confirm deletion of the organization.

 

To add an organization

1. Click Setup > Organization in the Menu Bar.

2. Click .

3. Enter the information about the organization. There is help available on each field.

4. Click when done.

5. Click image\closebox.gif to close the Organization Information page.

 

Notes:

The information you enter through Setup >Organization serves several purposes:

·  It creates a menu of organization codes from which to choose the organization to which a gift has been made. The organization code is entered in the Organization field in the Gift Information page. This allows GiftWrap reports to sort gifts and compute totals by organization.

·  The organization name, address, tax ID number, and phone number are required to appear on 1099-R tax forms.

·  The organization name, address, and transmitter control code are required to create IRS 1099 files for an organization that acts as its own transmitter.

·  When you create an electronic funds transfer file, organization information must be included in the file.

·  When you terminate a gift, organization remainder beneficiary information enables GiftWrap to make a final payment of the market value of the gift assets to the organization.

·  When you perform annuity reserve calculations or track gift annuity market values, annuity pool information allows you to apply these functions to gift annuities assigned to a specific annuity pool.

·  If printing checks from GiftWrap, printing them separately for each organization will allow you to use different check stock for different organizations.
