To add an association

You can add an association to an already existing gift using the steps below. If you are adding an association for a new gift using the Gift Wizard, start at step 5.

A person's record must already exist in GiftWrap before you can create an association between the person and a gift. image\chiclet.gif How?

1. Open the Gift Information of the gift to which to add an association. image\chiclet.gif How?

2. Click image\add.gif in the Payments/Taxes Association area.

3. Choose whether the association will be for a donor/beneficiary or a remainder beneficiary, then enter the person's last name in the Person's Last Name field and click Search.

4. Click in the row for the desired person from the list, and then click Next. If you cannot find the desired person, click Cancel, add the desired person using the Add Person Wizard, and then return to step 1.

5. Select an association, and then click Next. If you choose Donor, Bene-I or Donor/Bene-I for the Association field, skip to step 9.

If you see an error log, you have entered a Pay to the Order of name that doesn't match the Pay to the Order of name for other payments made to the same address. You may want to change it so that it is consistent with the name used for the other payments.

6Do one of the following:

If associating the person with a gift annuity, you may load   CGA tax tier information from a file:

image\onestep.gif Mark the Load tax information from a PGM file checkbox, and then click Next.

image\onestep.gif Click Yes when you are asked if you want to load a file.

image\onestep.gif Select the drive, folder, and file name of the file that contains the tax tier information. This file will end in .gftx. Click OK. Review the payment and tax  information, and then go to step 9.

To enter information manually:

image\onestep.gif Do not mark the Load tax information from a PGM file checkbox.

image\onestep.gif Enter the number of rows of tax information needed

image\onestep.gif Click Next.  

Note: You do not have the option to enter tax information manually if you use the Gift Wizard and load gift information from a PGM file. In this case, GiftWrap uses the tax information that is in the file you loaded.

7. If associating the person with a remainder trust or pooled fund: you will be asked whether you want to generate payment records:

image\onestep.gif Click Yes if you plan to enter payment information. GiftWrap will generate payment row information automatically. See Notes below for how payment dates and amounts are determined.

image\onestep.gif Click No if you do not plan to enter payment information.

8. Enter the payment and tax information for this association, as necessary. Payment and tax information is optional for all gift types except gift annuities. When done, click Next.

To enter payment information:

Enter payment information for all payments made during a full year. If the gift was made after one or more regularly scheduled payments, enter 0 as the amount of each of these payments.

For example, if the gift was made on 7/15/2009 and pays quarterly on 3/31, 6/30, 9/30, and 12/31 each year, enter check rows for 3/31/2009, 6/30/2009, 9/30/2009, and 12/31/2009 and enter 0 as the amount for the 3/31/2009 and 6/30/2009 payments. Enter a partial payment for the 9/30/2009 payment and enter a full payment for the 12/31/2009 payment.

Deferred gift annuities:

Enter check dates for the year payments will begin. For example, if the gift will make its first payment on 9/30/2010 and will pay quarterly on 3/31, 6/30, 9/30, and 12/31 each year, enter payment rows for 3/31/2010, 6/30/2010, 9/30/2010, and 12/31/2010 and enter 0 as the amount for the 3/31/2010 and 6/30/2010 payments. Enter full payments for the 9/30/2010 and 12/31/2010 payments.

image\onestep.gif Repeat these steps until you have entered all check rows for a full year of payments.

image\onestep.gif When you are done entering the last payment row, click .

To enter tax tier information on a gift annuity:

image\onestep.gif Double-click the first tax tier row you want to modify.

image\onestep.gif Enter the tax tier information. Make sure the first year for the tier follows the last year of the previous tax tier row by one year. If entering the final tax tier row, enter 9999 as the last year of the tier.

image\onestep.gif Repeat these steps until you have entered all tax tier rows.

image\onestep.gif  When you are done entering the last tax tier row, click .

To enter tax tier information on a gift that is not a gift annuity:

It is unlikely that you will want to store tax tier information for gifts other than gift annuities for two reasons: 1) GiftWrap cannot produce tax forms except for gift annuities, and 2) The taxation of payments from gifts other than gift annuities cannot be known until each tax year ends. If you wish to enter tax tier information on such a gift, however, follow the steps below:

image\onestep.gif Click image\add.gif next to the Tax Information, and then enter the information for the first tax tier.

image\onestep.gif Repeat t until you have entered all the tax tier rows you desire. Make sure the first year for each tier follows the last year of the previous tax tier by one year.

9. To add another association, click Yes under "Any other associations?" and then click Next and follow the steps above.

To exit the Association Wizard, click No under "Any other associations?" and click Next, and then Finish.

Notes:

·   When GiftWrap generates payment row information automatically, payment dates are based on the First Payment Date and Payment Frequency entries for the gift. Payment amounts are based on the Payment Frequency, Amount, and Payout % entries for the gift.

For example, payment dates for a gift with a First Payment Date of 6/15/2004 and a Payment Frequency of Q (quarterly) will be 3/15/2004, 6/15/2004, 9/15/2004, and 12/15/2004. Payment amounts for this gift with an Amount of $10,000 and a Payout % of 7.2 will be $0 for the 3/15/2004 check and (.072 x 10,000)/4 or $180 for all subsequent checks.

·   You can move back to a previous page in the Wizard by clicking a link in the navigation pane on the left. You can move back and forth in the  Wizard by clicking Back and Next. You can cancel the operation at any time by clicking Cancel.

·   There is help available on each field.

·   You can edit associations as necessary by double-clicking the row under Payments/Taxes/Association.
