Add Person/Advisor

The Add Person Wizard assists you through the process of adding a person or an advisor. First, you must verify that the person does not already exist in the database, and then you specify the person's information.

For an advisor, once you create a record for an advisor, you can link this advisor to any number of person records.

1. Click Actions > Add Person / Advisor in the Menu Bar.

2. Choose a Charity.

3. Click the appropriate Person Type for the record you are adding:

4. Type the person's last name in the Person's Last Name field, and then click Search.

5. If the person does not already exist in the database, click New Person.

If the person does exist in the database, click Cancel to exit the Add Person Wizard.

6. Fill in the desired Person Information fields, and then click Next. The fields that are active depend on whether you are adding a person or an advisor. There is help available on each field. If you see an error log, see Notes below.

7. Fill in the desired home address information, and then click Next.

8. Fill in the miscellaneous information about the person,  and then click Next.

9. Click Finish to exit the Person Wizard. The individual's Person Information record will open, allowing you to enter additional information on the person.

Notes:

·   Entering a person's Social Security Number when it is unknown or not applicable
SS Num is a required field for each Person record. If you don't know a person's SSN, you must enter a "dummy" SSN, such as 000-00-0000 or 111-11-1111.

  Beneficiaries who are assigned an SSN of 000-00-0000 are handled in a special way by GiftWrap's tax form and tax file production routines: 1099-R Forms, 1099 File, and, under PIFs - Tax Reporting, Federal K-1s, California K-1s, and Massachusetts 2G. These routines will include beneficiaries who have an SSN of 000-00-0000, but will blank out their SSN wherever it appears on the form or in the file. This approach enables you to produce tax forms and tax file records for beneficiaries who do not have an SSN, such as foreign beneficiaries.

·   If you see an error message, you have entered a social security number that already is assigned to another person within the Charity. One or the other of these numbers must be wrong and will need to be corrected. Either change the social security number of the person you are adding so that it is unique or cancel adding the person, change the social security number of the other person, and then try adding the new person again.

·   You can move back to a previous page in the Add Person Wizard by clicking a link in the navigation pane on the left. You can move back and forth in the Add Person Wizard by clicking Back and Next. You can cancel the operation at any time by clicking Cancel.
