Printing PIF Tax Forms for Advisors

GiftWrap can produce a Mail Merge Data File of advisor information that makes it easy to create advisor cover letters to enclose with pooled income fund tax forms produced by GiftWrap. GiftWrap can produce three different tax forms for pooled income fund participants:

All three tax forms are available only if you have purchased a license for the Pooled Fund Organizer module.

 

While GiftWrap can help you create cover letters for donor advisors whose information is stored in GiftWrap, it cannot print tax forms for just those advisors. The following are your options for collating the cover letters with the tax forms:

 

  1. Print out an extra set of tax forms and throw away the ones you don't need to send to advisors. If most of the beneficiaries want copies sent to their advisors, this method may be the most efficient.

  2. Go through the tax forms and photocopy the ones you need to send to advisors. If the number of beneficiaries is small, this approach may work for you.

  3. After opening the .fdf file for the tax form in Adobe Acrobat, search for each person whose advisor should receive a copy of the tax form and print the current page for each one. This method will save you from flipping through a stack of tax forms and a trip to the copier.

  4. Enter a custom filter in the Custom Filter box when creating tax forms. The custom filter lists the Person Keys of the participants whose advisors you wish to provide with a copy of their tax form. These Person Keys appear in the person_pk column of the advisor mail merge file. The advisor mail merge file is a text file that you can open in any text editor, such as Notepad or Wordpad.

This approach may be a little cumbersome if you have more than a few advisor copies to produce. The maximum number of Person Keys that can be entered in the custom filter is limited. If you have a long list of people, you can subdivide the list and do multiple runs.

Sample custom filter to print tax forms for persons with Person Keys 1, 10, and 46:
