Import Market Values / Account Numbers

The Import Market Values / Account Numbers routine can update the Market Value and Market Value Date fields or Account Number fields of a group of gifts by importing these values from a file.

This function is particularly useful for importing updated charitable remainder trust and charitable lead trust values, but it may be used to import market values for any gift type supported in GiftWrap.

The import file must meet the format specifications described in the Import file requirements section below.

1.  Close all GiftWrap pages so that only the Menu bar is visible.

2.  Choose Utilities >Import Market Values / Account Numbers in the Menu bar.

3.  Choose the import type: Import Market Values if importing Market Values, Import Gift Account Numbers if importing Account Numbers.  

3. Mark the First line is column header check box if your file includes column headers (strongly recommended).

4. Click .

5. Browse to the file whose contents you wish to import. Click Open.

6. Click Import. If you see an error log, see Notes below.

7. Once the import completes, a message will report the number of records in the file that were imported successfully and the number that were not imported.

Import file requirements
Import Market Values / Account Numbers can import data from a file that is in comma-delimited (.csv) format. Numbers should not include commas and any text value, such as an account number, must be contained in quotes if it includes a comma.  The easiest way to save a comma-delimited file is to work in Excel and, when done, save the file as type .csv.  When you save an Excel file in .csv format, Excel will automatically place quotes around any text value that contains a comma.

Each line in the import file should correspond to a separate gift record in GiftWrap.

Import Market Values: Each line must contain a valid market value, a valid market value date, and a value for at least one of the following that matches a value in a gift record stored in GiftWrap: Trust ID, Gift Key, Account 1, or Account 2.

For a market value to be imported, all gift identifiers (Trust ID, Gift Key, Account 1, or Account 2) supplied on the line must match the corresponding values in a gift record in GiftWrap. Also, the market value date in the import file must be greater than the market value date currently stored for the gift. Import Market Values will import market values only from those lines in the import file that meet these criteria.

Import Gift Account Numbers: Each line must contain one to five valid gift account numbers and a value for one of the following that matches a value in a gift record stored in GiftWrap: Trust ID, Gift Key.

For a gift account number to be imported, all gift identifiers (Trust ID, Gift Key) supplied on the line must match the corresponding values in a gift record in GiftWrap. Import Market Values / Account Numbers will import gifft account numbers only from those lines in the import file that meet these criteria.

Column headers
While column headers are not required when importing Market Values, we strongly recommend that you include them in the file. Column headers can simplify proper formatting of the import file. They also make the file's contents easier to understand. Specific column headers are required when importing Gift Account Numbers (see below).

When importing market values: the column headers in the import file can use any names you want, but should relate well to the field they label.  For example, use a header such as TrustID to label the Trust ID field.  You can use uppercase or lowercase letters in the column headers. As with all records in the file, each header must be separated by a comma.

When importing gift account numbers: the column headers in the import file must include a column header for the Trust ID and Gift Key plus each account number that is included in the file. For example, if all five account numbers are included, the column headers must be:

Trust ID,Gift Key,Account 1,Account 2,Account 3,Account 4,Account 5

If only Account 1 and Account 4 values are include in the file, the column headers must be:

Trust ID,Gift Key,Account 1,Account 4

The following formats for account number column headers are acceptable:

Account1
Account 1
Account#1
Account #1

Import Market Values file format
Each line of the import file must be laid out as follows:

Trust ID,Gift Key,Account 1,Account 2,Account 3,Account 4,Account 5,Market Value,Market Value Date

For example, a line containing a Trust ID of "12-1234", an Account 1 of "A-123", an Account 2 of "111-222B", a Market Value of $10,000, and a Market Value Date of 6/30/2003 would look like this in comma-delimited format :

12-1234,,A-123,111-222B,,,,10000,6/30/2003

The same line, but without Account 2 values would look like this:

12-1234,,A-123,,,,,10000,6/30/2003

A three line file might look like this, for example:

12-1234,,A-123,,,,,10000,6/30/2003
12-1235,,A-124,,,,,100000,6/30/2003
12-1236,,A-125,,,,,43234.55,6/30/2003

Each line of the file is evaluated independently. Although it is typical for all lines of an import market values file to use the same value(s) to identify each gift record, they don't have to. One line could use the Trust ID, while another line uses Gift Key.

Market Value format requirements: Market values must not contain commas or dollar signs. They may contain a decimal point. Express "$10,000.00" as "10000" in the file. Express "$12,345.67" as "12345.67" in the file.

Market Value Date format requirements: The market value date must be expressed in mm/dd/yyyy or m/d/yyyy format. You may express July 1, 2009 as "7/1/2009" or "07/01/2009". The date must be valid: the month cannot exceed 12, the day cannot exceed the maximum days in the indicated month, and the year must be within 1800-9999.

 

Import Gift Account Numbers file format
Each line of the import file may be laid out with any combination of account numbers. All of the following are acceptable:

Trust ID,Gift Key,Account 1,Account 2,Account 3,Account 4,Account 5
Trust ID,Gift Key,Account 1,Account 2,Account 3
Trust ID,Gift Key,Account 2,Account 4
Trust ID,Gift Key,Account 5

For example, a line containing a Trust ID of "12-1234", a Gift Key of "100", an Account 1 of "A-123", and an Account 2 of "111-222B" would look like this in comma-delimited format :

12-1234,100,A-123,111-222B

The same line, but without Gift Key value would look like this:

12-1234,,A-123,111-222B

A file with three lines of import data might look like this, for example:

Trust ID,Gift Key,Account 1
12-1234,,A-123
12-1235,,A-124
12-1236,,A-125

Each line of the file is evaluated independently. Although it is typical for all lines of an import market values file to use the same value(s) to identify each gift record, they don't have to. One line could use the Trust ID, while another line uses Gift Key.

 

Notes:

·    If you see an error log, we recommend that you fix the errors in the file that it identifies, then run Import Market Values / Account Numbers again.

If you click Continue, Import Market Values / Account Numbers imports all valid records in the file and ignores all invalid records in the file.

You can print the error log or save the log in a file that you can print or review later.
