Create EFT Mail Merge Data File

The EFT Mail Merge Data File function creates a secondary file of EFT payment information that can be merged with a primary document. The file contains payment information on each selected income beneficiary in a format that is suitable for merging with another document. Payment information on beneficiaries who received payments by check during the same time period are not included in the file.

For example, you could use this file to produce a personalized letter for each of your income beneficiaries that includes references to the payment they have recently received by EFT.  (This file cannot be used to make payments electronically, only to inform recipients that their electronic payments have been made.)

EFT Data Mail Merge File layout

 

1. Click Payments > EFT Files in the Menu Bar.

2. Click Create EFT Mail Merge Data  File in the Report Type area.

3Enter selection and sort criteria for the account information to include in the file. There is help available on each field.

4Choose the File Format in the Other area.

5Click OK. If you get an error Log window, see Notes below.

6.  Open or save the file, as needed.

7. Click image\closebox.gif to close the File Output page.

 

Notes:

·   Payments included in the file are those with a payment address with a Use EFT field marked and either a Prenote field set to N (no prenote needed) or a Prenote field set to D (prenote done) and a Prenote Date (the creation date for the prenote file) that is more than 11 days prior to the EFT Payment File creation date, will be included in the file.

·   Use the log window to troubleshoot any errors in your data. The log indicates the person key and the Gift Key to identify the gift along with a brief explanation of the problem.

You can print the error log or save the log in a file that you can print or review later. Click Continue and go to the next step in the procedure.
